Speaker Prep Checklist 

Get Registered and Book Your Hotel 

  • If you have not already, register for 2025 IPF. All speakers are eligible to receive the discounted speaker rate, which can be accessed once you have submitted your headshot and biography to the Oceantic Content team.  
  • All speakers are required to book within Oceantic’s hotel room blocks. Additional information is available here.

How can I promote my session? 
 

  • Oceantic has created a shareable and easy-to-use template for promoting your speaking role via Canva. Follow this link for graphics and instructions and then promote on social media to let your network know you’ll be speaking at IPF! 

How should I prepare for my presentation or panel?

  • Panel moderators are responsible for contacting and convening all speakers on the panel for a call to prepare for the discussion. If you have not heard from your moderator, please contact [email protected], or reach out to them directly.
  • Panelists should meet at least once, 4-6 weeks before the event, to prepare. During the call, speakers should discuss the format of the session, review talking points and roles, and determine any materials you’ll need for your presentation. Solo speakers should do the same to prepare.
  • You may use this Presentation Template for your slides, or your own template.
  • If you’d like to request Oceantic Network join your call or assist with scheduling, please email [email protected] 

How do I submit my presentation? 

The following guidance applies to all Workshops, as well as programming on the Power ON Stage. 

If you are speaking at the U.S. Market Update, Central Atlantic Supplier Fair, U.S. Offshore Wind Standards Initiative, Ocean Renewables Summit, or Workforce Summit email your presentation as one file directly to [email protected]. Do not use the WarpSpeed Portal. 

  • If you wish to present slides, send all slides to the moderator of the session who will compile them into one file and submit the full presentation to the Warp Speed portal by Wednesday, April 23 at 11:59 p.m. ET.
  • Solo speakers are responsible for submitting their own presentation materials.
  • Any presentations that were not uploaded ahead of time will need to be loaded onsite in the Speaker Ready Room.
  • You may use this Presentation Template for your slides, or your own template.
  • Note: All panelists and speakers should at minimum create and submit a title slide to show on the screen during your session. This will also ensure the discussion is recorded.  

What is the Speaker Ready Room and where is it located?  

The Speaker Ready Room is an on-site location where speakers can upload their presentation materials (or make updates to presentations) and get help if you have any questions.

  • Monday, April 28: 9 a.m. – 5 p.m.
  • Tuesday, April 29: 8 a.m. – 5 p.m.
  • Wednesday, April 30: 7 a.m. – 5 p.m.
  • Thursday, May 1: 7 a.m. – 3 p.m.

What if I have presentation updates?  

If you have updates to your slides after submitting them, please bring the slides on a flash drive and stop by the Speaker Ready Room (Meeting Room 2C) no later than one hour prior to your workshop. 

Room Setup 

What is the room set-up for workshops?  

All workshop rooms are set up theatre style with all audience chairs facing the front of the room. There will be a stage with (1) podium and microphone, head table at the front of the room with (4) chairs to seat all speakers, (4) tabletop microphones and (1) slide advancer.  

What is the Power ON Stage setup? 

The Power ON Stage is located in the Exhibit Hall in the back on the left side. Speakers will have access to a podium with a microphone, as well as tall stools and handheld microphones for panelists. Presentations will be shown on two TV monitors on either side of the podium. 

Workshop Moderator Information

The following information is for workshop moderators who will take audience questions during their session. Moderators are not required to offer Q&A, but attendees typically appreciate the opportunity.

Moderators may choose to take questions using a passed mic in the room, or through the IPF app.

How-To Moderate Live Q&A from the IPF App:

  • Download the IPF app. Download instructions here.
  • Access the session page. Log in to the Event App and tap the calendar icon. Locate your session on the schedule and tap its name.
  • Start moderating questions. Tap Live Q&A. The Pending tab opens by default and displays all the questions that have been submitted. To approve a question, tap the checkmark. To decline a question, tap the X.
  • NOTE: Don’t see the moderator settings? If you logged into Attendee Hub before being assigned as a moderator, you will need to log out then log back in to see the moderator permissions.

 

Tips & Tricks:

  • If you need to decline a question that has already been approved, tap the Approved tab. Then tap the X next to the question to decline it instead. Or, if you need to approve a question that has already been declined, tap the Declined tab. Then tap Move to approved in the bottom right corner of the question to approve it instead.
  • Submit a question yourself. If you want to guarantee that some good questions are submitted during the session, there’s nothing stopping you from asking them yourself. Tap Ask a question, then type out your question and tap Submit.

What do I do if I need to swap a speaker or can’t attend the conference due to an emergency? 

Please notify your moderator and email [email protected] and [email protected] as soon as possible.
